Rights & licenses in DAM

Know the rights.
Plan the next use.

Which conditions apply to an image? Where is the supporting document? AdmiralCloud connects media with usage rights, license periods and documents so your team can check the conditions before use.

The images show a fictional agency campaign for a ceramics workshop, not real agreements or a product interface.

Associate records

Keep the conditions with the asset.

A photographer works with a ceramic artist on a campaign shoot. The media view connects her portrait with supporting PDF documents.
Associate supporting documents with the campaign photo and review the agreed conditions.

Store information about the creator, permitted uses, restrictions and license periods. Linked documents make the basis for a use easier to find, rather than leaving it in separate folders.

These may include model releases, property releases, assignments of rights or stock photo agreements. Linking a document records that basis; it does not replace checking the agreement itself.

Check the intended use

Do the rights cover your plans?

An agency team compares a website draft, printed campaign proof and agreement documents for the same ceramics image.
Check the planned website and print uses separately against the recorded conditions.

License labels provide orientation. The recorded conditions remain decisive, such as the intended purpose, usage period or restrictions on particular channels.

You can assign colors to license templates. They are visual aids, not a universal traffic-light system proving that a use is legally permitted. Technical access permissions are also distinct from image usage rights.

Handle expiry

Track the dates. Stop delivery.

An agency production view connects a campaign photo, an expiry date and paused web delivery. The original stays in the media library.
Expiry affects delivery through AdmiralCloud. Handle exported copies separately.

Notifications before and at expiry help your team keep track of expiring licenses. They can then decide whether to extend the rights or choose a different image.

The process can be configured. When a license expires, all delivery of the affected asset through AdmiralCloud is automatically taken offline.

  1. Before expiry

Receive a notification and review the next use.

  2. At expiry

All delivery through AdmiralCloud is automatically taken offline.

  3. Outside AdmiralCloud

Handle previously exported or separately published copies independently. They are not recalled by this process.

Respond to withdrawal

Unpublish deliberately, with one click.

A picture editor deliberately ends publication of a campaign image while keeping the photo in the media library.
Trigger depublishing manually. End publication and retain the original.

If consent is withdrawn, review the associated records and affected media. You then manually end publication with a single click through depublishing.

That publishing decision stays in your hands. Optional facial recognition can help find further media of the person for review; it does not guarantee complete or error-free identification.

Offline does not mean deleted.

Depublishing ends a publication. License expiry, restrictions on use, archiving and deletion are different processes. Checking the applicable rights remains part of your media workflow.

Manage license information day to day.

Templates and associated information support recurring tasks in your DAM.

  • Label licenses

Small colored flags show the assigned license on each asset’s media container in the overview.

  • Assign templates directly

Choose an existing license template and assign it to the asset.

  • Manage templates

Administrators can create license templates and assign colors to them.

  • Record conditions

Store usage types, rights, restrictions, licensors and licensees, along with warning notes.

  • Add language versions

Use the language tabs to add translations of the license fields.

  • Follow expiry by email

An email notification can inform you when the license expires.

The specific agreement matters.

Royalty-free and rights-managed licenses describe different licensing models. The agreement defines the permitted uses, restrictions and license period; the name of the licensing model alone does not.
